At The Guardians, we believe in transparency. This policy outlines the terms under which cancellations are accepted and refunds are processed. Please read this policy carefully before making a booking.
1. Overview
Our refund and cancellation policy covers two main scenarios:
- Pre-arrival cancellations: When a confirmed booking is cancelled before the resident has moved in.
- Mid-stay vacating: When a resident leaves before the end of their agreed stay or notice period.
All refund requests must be submitted in writing via email or through our contact form. Verbal requests will not be accepted.
2. Security Deposit
A security deposit equivalent to one month's rent is collected at the time of booking. This deposit:
- Is held as security against damages, unpaid dues, or policy violations.
- Does not earn interest.
- Is refundable (subject to deductions) upon vacating as per the terms below.
- Cannot be adjusted against the last month's rent.
3. Booking Cancellation
If you wish to cancel a confirmed booking before your move-in date:
- You must submit a written cancellation request to us.
- The booking fee / advance payment (if separate from deposit) is non-refundable.
- The security deposit refund is governed by the Refund Schedule below.
- Cancellations made after move-in are treated as mid-stay vacating.
4. Refund Schedule
The following schedule applies to the security deposit for pre-arrival cancellations:

5. Mid-Stay Vacating & Notice Period
If you decide to vacate during your stay:
- A minimum 30-day written notice is required before vacating.
- Rent is charged for the full notice period regardless of actual occupancy.
- If you vacate without serving the full notice period, the security deposit will be forfeited proportionally to cover the shortfall.
- Rent is charged for the complete month — no pro-rata adjustment is made for mid-month departures unless prior written approval is obtained.

6. Non-Refundable Items
The following are strictly non-refundable under all circumstances:
- Booking / reservation fee (if charged separately from the deposit).
- Monthly rent already paid for the current or past months.
- Utility charges, maintenance fees, or one-time service fees.
- Deposit amount forfeited due to rule violations or eviction.
- Any penalty charges levied for late payment or policy breaches.
7. Deductions from Security Deposit
Before refunding the security deposit, the following may be deducted:
- Cost of repair for any damage to the room, furniture, fixtures, or common areas caused by the resident.
- Unpaid rent or outstanding dues at the time of vacating.
- Cost of replacing lost or damaged keys, access cards, or equipment.
- Professional cleaning charges if the room is left in an unacceptable condition.
- Any fines imposed for rule violations during the stay.
A detailed deduction statement will be provided along with the refund.
8. Refund Process & Timeline
Once a refund is approved:
- Refunds are processed within 7–15 business days after the room has been inspected and all dues are settled.
- Refunds are transferred via bank transfer / UPI to the account details provided by the resident.
- The resident must provide accurate bank details (account number, IFSC, UPI ID) in writing.
- We are not responsible for delays caused by incorrect bank details provided by the resident.
9. Special Exceptions
We understand that exceptional circumstances can arise. Discretionary exceptions may be considered in the following cases:
- Medical emergencies: Supported by a valid medical certificate from a registered physician.
- Family emergencies: Supported by relevant documentation.
- Relocation by employer: Supported by an official transfer letter.
All exception requests must be submitted in writing within 7 days of the event. The management's decision on exceptions is final and binding.
